Medbase Portal in clinical practice: Results from a pilot at the Institute of Mother and Child

A successful collaboration between Medbase and the Institute of Mother and Child in Poland has delivered strong results in a real-world hospital setting. The pilot showed faster access to essential medication information, positive impact on medication safety and seamless integration into healthcare professionals’ daily workflow.

Finding the right drug information at the right time is an essential part of safe pharmacotherapy. Yet healthcare professionals often need to consider information from several sources when assessing drug interactions, dosing, adverse effects or other factors affecting treatment.

To explore how this process could be made more efficient, the Institute of Mother and Child (IMiD) in Warsaw piloted Medbase Portal in its hospital pharmacy.

The collaboration provided an opportunity to evaluate the solution where it matters most: as part of healthcare professionals’ everyday work in a real hospital environment.

From innovation programme to clinical practice

The collaboration between Medbase and the Institute of Mother and Child began through MCSC Hospital Leadership Innovation, an initiative that brings healthcare organisations and innovative companies together to test new solutions in real clinical settings.

In 2025, Medbase was selected among the TOP10 finalists of the programme. This marked the beginning of the collaboration, which progressed to a pilot of Medbase Portal at the Institute in 2026.

The aim was not simply to demonstrate the technology, but to understand how it performs in practice: whether healthcare professionals could access relevant drug information faster, whether they considered the information reliable and useful, and how the solution fitted into their daily workflow.

During the pilot, it was particularly important for us to understand not only how the solution itself works, but above all how it fits into the hospital’s real workflow and users’ everyday work. Encouraging results from everyday use

During the pilot, users evaluated Medbase Portal in their day-to-day work. The assessment covered clinical usefulness, ease of use, reliability of the information, impact on workflow, time needed to check medication information and the overall user experience.

The results were highly positive:

  • 100% of respondents reported that Medbase reduced the time needed to check drug–drug interactions.
  • 70% said that checking the information they needed would have taken, or probably would have taken, longer without access to Medbase Portal.
  • 0% reported that using Medbase disrupted their workflow.
  • 80% positively assessed its impact on medication safety. The same proportion gave positive feedback on the reliability of the information and the intuitiveness of the solution.

Together, the findings highlight something important in everyday clinical practice: access to comprehensive medication information can be made more efficient without adding complexity to the workflow.

What did users value?

The open feedback provided further insight into what users found most useful in practice. Participants highlighted quick access to the information needed to assess pharmacotherapy and reduced time spent analysing drug interactions and treatment.

They also valued having relevant information consolidated in one place rather than searching across multiple sources, as well as access to the scientific evidence and publications behind the information.

Medbase Portal brings together information on drug–drug interactions, adverse drug reactions, dosing, indications and contraindications, renal and hepatic impairment, pregnancy and breastfeeding, pharmacogenetics and cross-hypersensitivity.

Learning from a real clinical environment

The pilot also provided valuable insight into where and how the solution can bring the greatest value.

As the Institute of Mother and Child primarily treats paediatric patients, respondents noted that some aspects of Medbase Portal may have greater potential in healthcare settings treating adult patients with more complex pharmacotherapy.

At the same time, users identified particular potential for geriatric patients and people with polypharmacy, as well as in areas such as gynaecology and pharmacotherapy during pregnancy and breastfeeding.

The feedback underlines an important principle: the value of a medication safety solution is closely connected to the patient population and clinical environment in which it is used.

– Medication safety is an integral part of patient safety. This is why collaboration between hospitals and technology providers developing solutions that address real clinical needs is so important. At the same time, innovative tools should primarily be evaluated in a real working environment, taking into account their usefulness to staff, their impact on workflow and the specific needs of the patient population. Collaboration that brings valuable real-world insight

The pilot results were presented jointly at the Hospital Innovation Summit in Warsaw on 15 September 2026 by Dr Eliza Kozyra-Pydyś and Sławomir Kmak.

For Medbase, the pilot provided valuable real-world feedback on usability, workflow and access to medication information. Just as importantly, the collaboration with the Institute of Mother and Child created an opportunity to learn together in a real clinical setting and understand where the solution can provide the greatest support.

The experience reinforces a shared goal: making reliable medication information easier to access when it is needed and supporting safer, better-informed pharmacotherapy.
